28 How to Opt-out of the Pressbooks Directory

By default, the Pressbooks Directory is designed to include a listing of all Public books from all PressbooksEDU networks. While we’re really excited about the Directory’s ability to help people find the educational resources they’re looking for, we realize that you may not want every public book on your network to be discoverable in the Directory, for any number of reasons. Maybe you’re not quite finished working on a book and only want it to be available to your students and small group of chosen readers for now. Maybe the book was just a test. We believe that it’s important to give creators control over whether or not their public book is listed in the Pressbooks Directory.

This chapter will describe how to opt-out of inclusion in the Pressbooks Directory at both the book level (can be done by network managers and book administrators), and at the network level (can only be done by network managers).

1. Directory opt-out for an individual book with book-level settings (book admins)

By default, all individual book administrators on PressbooksEDU networks can choose to exclude their book from the Pressbooks Directory, even if its visibility/global privacy status is ‘Public.’ Please note that if a book’s visibility or global privacy setting is ‘Private,’ the book will not be included in the Pressbooks Directory, no matter what the Pressbooks Directory value is.

Book admins can find and change this setting for an individual book within their book’s dashboard under SettingsSharing and Privacy Settings > Pressbooks Directory.

If a book’s visibility or global privacy setting is ‘Public’ and the Pressbooks Directory option is ‘Yes. I want this book to be listed in the Pressbooks Directory’ (the default value for public books) then the book will be listed in the directory.

If a book’s visibility or global privacy setting is ‘Public’ and the Pressbooks Directory option is ‘No. Exclude this book from the Pressbooks directory’ the book will not be included in the Pressbooks Directory. This selection is not permanent, and can be changed at any time.

Removal from the Pressbooks Directory (by making a book private or changing its Pressbooks Directory value) should be close to instantaneous. Addition to the Pressbooks Directory (by making a book public and/or changing the Pressbooks Directory value for a public book may take a short amount of time.

Note: This setting will not appear for book admins when overridden at the network level using the network-wide option described below. If this setting does not appear, please check with your network manager.

2. Directory opt-out with network settings (network managers)

Network managers can make a network-wide decision to exclude public books which are not in their network catalog from the directory. Network managers can find this setting by going into Network Admin > Settings.

This will take you to the Network Options page. At the bottom of the ‘Network Defaults’ tab, there will be a Book Directory option.

If this option is not selected (the default setting), all public book on the network will be included in the Pressbooks Directory, unless a book admin chooses to opt-out of inclusion using the instructions in the previous section of this chapter.

If this option is selected, only those books which network managers have chosen to display in a network’s catalog will be flagged for inclusion in the Pressbooks Directory and individual book admins will not see any book-level opt-in options.

This selection is not permanent and can be switched at any time.

Note: Because this setting removes author agency and limits the wider public’s ability to find and use public books, we generally recommend leaving it unselected. In our view, the feature is best suited for only those Pressbooks networks where publication of all books is supervised closely by network managers and published books are consistently included in the network catalog upon publication.
